Terms & Conditions

Last updated: January 2026. By booking a safari, trek, or tour with Gilbays Safaris, you agree to the terms set out below.

Booking & Deposits

A booking is confirmed once we receive a completed booking form and a deposit of 30% of the total package cost. Confirmation secures your dates, vehicle, and guide allocation.

Provisional holds without a deposit are held for a maximum of 5 days before the reserved dates are released back to general availability.

Payment

The remaining balance is due no later than 14 days before departure. For bookings made within 14 days of travel, full payment is required at the time of booking.

We accept bank transfer, major credit cards, and M-Pesa for local payments. Any bank or transfer fees are the responsibility of the traveler.

Cancellations & Refunds

Cancellation terms are based on how far in advance notice is given, in writing, before the scheduled departure date:

  • 30+ days before departure: full refund minus a 10% processing fee.
  • 15–29 days before departure: 50% of the total package cost is refunded.
  • Less than 14 days before departure: no refund, as vehicles, guides, and park permits are already secured.

If Gilbays Safaris cancels a trip due to circumstances within our control, a full refund or rebooking on alternative dates will be offered.

Changes to Itineraries

Itineraries are planned carefully but may be adjusted due to weather, road conditions, park closures, wildlife movement, or safety considerations. Where possible, changes will be discussed with you in advance.

We are not liable for costs arising from delays or itinerary changes caused by circumstances beyond our reasonable control, including flight delays, government action, or extreme weather.

Health & Fitness

Travelers are responsible for ensuring they are medically fit for the safari, trek, or tour booked. Trekking Kilimanjaro or Mount Meru involves sustained physical exertion and exposure to altitude.

Please disclose any relevant medical conditions at the time of booking so we can advise on suitability and any necessary precautions.

Liability

Gilbays Safaris takes reasonable care in selecting vehicles, guides, and accommodation partners, but travel in wilderness areas carries inherent risk. We are not liable for injury, loss, or damage arising from circumstances outside our reasonable control.

Our liability, where it does arise from our negligence, is limited to the value of the package booked.

Travel Insurance

Comprehensive travel insurance — covering medical treatment, emergency evacuation, trip cancellation, and lost luggage — is required for all bookings. Proof of insurance may be requested before departure.

Conduct & Park Rules

All travelers are expected to follow the instructions of their guide and the rules of any national park, conservation area, or cultural site visited, including those relating to wildlife distance and photography.

Gilbays Safaris reserves the right to end a trip early, without refund, in cases of behavior that endangers the safety of the group, guide, or wildlife.

Governing Law

These terms are governed by the laws of the United Republic of Tanzania. Any disputes arising from a booking will first be addressed through direct discussion, and if unresolved, through the appropriate Tanzanian legal channels.
